Role:

Responsible for the supervision of day-to-day HIM and coding activities and of HIM and coding personnel for the corporate office and all affiliates.

 

Qualifications:

  • Bachelor's degree in Health Information Management
  • RHIA or RHIT and CCS credential
  • Minimum of 2 years of supervisory experience
  • Minimum of 2 years in medical office or acute care setting
  • Thorough understanding of the transition to the electronic health record and core HIM functions such as document management and imaging, chart completion and deficiency monitoring
  • Knowledge of: ICD-10-CM and CPT with a familiarity of the Official Guidelines for Coding and Reporting and the Evaluation and Management Documentation Guidelines
  • Knowledge of: medical terminology, anatomy and physiology, pathophysiology, AHA Coding Clinic, AMA CPT Assistant, and Coding Clinic for HCPCS
  • Knowledge of clinical documentation improvement and its importance as it relates to coding accuracy
  • Familiarity with encoder technology including Computer Assisted Coding and abstracting system along with electronic medical record (EMR)
  • Familiarity with productivity matrix and reporting
  • Familiarity with Home Health and Hospice medical record and coding processes
  • Demonstrated skills and ability in: fiscal accountability, interpersonal relations, problem solving, individual team motivation, planning and organizing, conflict resolution, and leadership
  • Must be able to physically access any office within the organization
  • Excellent organizational and written/oral communication skills

  • Ensures appropriate training for health information functions to facilitate the proper use and implementation of quality systems and processes.
  • Notifies HIM Director of any unresolved issues and assists in resolving health information quality deficiencies.
  • Provides day-to-day supervision and support for HIM Processors, HIM Technicians, and Coding Specialists.
  • Ensures daily productivity matrices are established, monitored and maintained.
  • Produces weekly reports to review and verify that established daily productivity standards are met and maintained.
  • Implements and maintains efficient medical records systems that meet or exceed compliance with all Federal and State regulations, Joint Commission and heath information standards.
  • Provides weekly coding education to ensure appropriate understanding of coding rules and documentation guidelines.
  • Conducts quarterly meetings with HIM staff to ensure departmental process efficiency.
  • Monitors daily HIM and coding operations through effective communication and departmental processes.
  • Ensures efficient completion of certifications on a weekly basis to ensure resolution in a timely manner.
  • Monitors, maintains and implements medical record deficiency processes to ensure efficient work flow and resolutions with Joint Commission and regulatory standards.
  • Audits and maintains departmental processes to ensure continual process improvement and standardization.
  • Works cooperatively with other departments to integrate medical records standards throughout all appropriate areas of the agency.
  • Ensures documentation is filed and/or scanned into the patient information system in a timely fashion.
  • Maintains scanned records index for appropriate retention of medical records.
  • Provides coverage to functions within the HIM department, when needed.
  • Ensures adherence to Company policies and procedures and productivity standards.
  • Facilitates orientation education for HIPAA and documentation guidelines.
  • Manages the orientation program for new employees and monitors new staff members in the adjustment process.
  • Provides cross training to optimize daily operations and to meet the needs of the organization.
  • Works closely with Senior Management to integrate goals.
  • Respects the need for employee and patient confidentiality at all times.Communication - Interpersonal Skills

  • Determines agenda and conducts staff meetings for all HIM staff including weekend or evening on-call staff, with minutes available for review.

  • Performs conflict resolution techniques with team members, peers, and Senior Management to resolve differences.

    • Plans, organizes and coordinates regular monthly department meetings leadership.
    • Responsible for overseeing adequate supplies and resources are available for staff.
    • Completes time keeping approval for HIM and coding staff to maintain accurate clocking data for department employees.

    • Monitors the individual responsibilities of each member of the department at regular intervals and takes appropriate action if discrepancy is recognized between responsibilities and performance requirements.
